Free business tools every freelancer should bookmark

Freelancers waste money on tool subscriptions they don't need. Here's a stack of free, focused web tools that cover the essentials — invoicing, conversions, calculators, and admin — without monthly fees.

    Quoting & invoicing

    • Free quote generator (PDF export)
    • Invoice template + tracker spreadsheet
    • Tax calculator for quick "what will I owe?" math

    File conversion

    • WebP → JPG converter (in-browser, private)
    • PDF compressor
    • Image resizer

    Calculators

    • Hourly rate calculator (factor in taxes, downtime, benefits)
    • Mileage deduction calculator
    • Project profitability tracker

    Admin & ops

    • Free contract templates (with electronic signature via free tier of HelloSign/PandaDoc)
    • Time tracker (Toggl free tier)
    • Cash flow spreadsheet

    The principle

You don't need an all-in-one suite — you need 6–8 single-purpose tools that do their job well, free. Save the subscription budget for the one or two tools that actually move revenue.

How to choose the right free tool

Free tools are only useful if they do not create more work later. Before adding one to your stack, check four things. Export: can you get your data out as CSV or PDF if the tool changes its pricing? Privacy: does a file converter process files in your browser, or upload client documents to a server? Limits: free tiers often cap clients, invoices or projects, so know where the ceiling is before you depend on it. Mobile: if you quote on site, the tool has to work on a phone without an account login every time.

Review the stack once a quarter. Drop anything you have not opened in 90 days and upgrade only the tool that is clearly saving you billable hours.
